Organising a fundraising event

Organising a fundraising event is a great way to support the RAF Benevolent Fund. Your event could be a cake sale, a fashion show, a concert, a village fete, a pub quiz or a football match. Or it could be something entirely different that no one else has done before.

Whatever you decide to do you'll be helping a great cause. Remember that we rely entirely on people like you to continue our important work supporting the RAF Family whenever they are in need.

Getting started

To get you started you need to decide what your event is going to be, and decide how you are going to raise money.

You can set up an online fundraising page for your event and our regional fundraisers can help with anything else you need such as collection boxes, stickers or T-shirts. Make sure you keep everything legal, and it's a good idea to set yourself a target for fundraising.

Find a venue

Book your venue early! Make sure the venue is big enough for your needs, but don't book a venue you can't fill.

Think about whether you want to use your home, the local pub, your community centre, a church hall, a sports club or even an RAF station.

Many venue owners don't charge a hire fee for charity events, so don't forget to ask! Check that people will be able to reach your venue by public transport or that it has adequate parking facilities.

Who to invite

The more people who attend, the better chance you have of raising money. Invite everyone you know from friends, family, work colleagues, members of your sports club, place of worship or community group. Sell tickets in advance so you have an idea of how many people to expect.

Choose the right date

Choose a date that doesn't clash with public holidays, other local events or popular sporting fixtures.

It's a good idea to hold your fundraiser after the end of the month – people will be more likely to dig deeper when they've just been paid!

Get your friends involved

Spread the planning load by forming a team of helpers. Work out what needs to be done and give each person a specific job to do – many hands will make light work.

Work out a realistic budget and stick to it. The overall success of your event will depend on how carefully you manage your costs.

If you are holding your event at an RAF station make sure you have obtained permission through the correct channels before you go ahead.

Promoting your event

Make sure you tell as many people as possible about your event. You can set up an event on Facebook, invite all your friends and ask them to invite their friends.

You can send out an email to all your friends and colleagues, and don't forget to contact one of our fundraisers so they can help you spread the word.

Remember that local shops and businesses might like to support your event by donating raffle prizes or by printing flyers and invitations – so don't be afraid to ask. If you are planning on contacting large corporate companies, especially MOD contractors, please speak to your regional fundraiser first to ensure you de-conflict the ask to anything we may be in talks with them about.

Paying us the money

If you have collected the money through an online fundraising page you won't have to do anything as the money will automatically be sent to us. If you have collected cash you can ask one of our regional fundraisers for our account details so that you can pay the money straight to us at a Lloyds Bank, or pay it into your own account and transfer it to us online.
